Terms and Conditions 

The client agrees that by engaging Bellbird Words to provide proofreading, editing or writing services, the client has read, and accepts, the terms and conditions as follows:

Estimates and quotes

Bellbird Words (BW) will provide an estimate upon the receipt of a sample (5-10 A4 pages) of the document. An estimate is the approximate amount of time BW believes it will take to complete the services required, based on word count, and including one complete proofread and/or edit, depending on the client’s requirements.

Once BW has started work, if BW believes that the final price will exceed the estimate by more than 15%, BW will let the client know in advance.

If, after BW returns the work to the client, the client makes changes and then would like all or part of the document edited or proofread again, BW reserves the right, depending on the amount of work involved, to treat this as a new job and to issue a new estimate.

Should the client decide after the job is complete that the client would like the document to undergo a second stage of writing, editing or proofreading, that will be treated as a new job and a new estimate will be issued.

Fixed quotes are issued for jobs which, either at the request of the client or on the recommendation of BW, are charged on a per-project or per-word basis. Once a quote is issued, the amount shall be final.


BW reserves the right to charge at a rate higher than the standard rate where the following circumstances apply:

  • The job is unusually complex.
  • The document has been written by a person whose native language is not English.
  • The job calls for highly specialised professional knowledge or skill in order for it to be successfully completed.
  • The job must be completed within an unusually short timeframe.

For all jobs, if additional requests are made after BW has started work, the price will change accordingly.


The deadline and manner of delivery of the completed document shall be agreed upon by BW and the client. BW shall make every reasonable effort to ensure, but shall not guarantee, that delivery dates are met.

Delivery dates may be changed by mutual agreement of both parties.


Payment is required in full within seven (7) days of the date of the invoice.

BW reserves the right to ask for full payment in advance in some circumstances, e.g. if the client resides outside of New Zealand.

BW reserves the right to ask for a 50% deposit before commencing work on jobs valued higher than NZD $500.

Where the duration of the job is over one month, one or more interim invoices may be issued. If an interim invoice remains unpaid after it has become due, work will be suspended immediately until the invoice is paid in full.

Interest will be charged on late payments at the rate of 2% per month or part thereof.

BW shall be entitled to recover all costs from clients incurred by it in recovering overdue accounts.

BW shall be entitled to retain possession of the work undertaken for clients until BW is paid in full for its work.


Once the job is in progress, either party may terminate the agreement in the event of change of circumstance with 14 days’ notice sent in writing to the other party at the address provided. In such case that BW terminates the agreement, the client will pay BW for work done up to the date of termination. If the client terminates the agreement, the client will pay BW for the work completed up to the date of termination; however, this amount will not be less than 30% of the estimated total for the project. 


​All due care will be taken by BW to ensure accuracy and effectiveness of work. However, the final responsibility rests with the client.

To the extent permitted by the laws of New Zealand, BW accepts no liability on any grounds for consequential damages or losses arising from any cause, including omission or negligence.

BW shall not be held responsible for any loss to the client due to delays not caused by BW, loss of the subject matter in transit, or legal action against the client as a result of publishing the document. 


BW is not to be held responsible, nor to incur any costs from the client or a third party, for any copyright infringement or other issues such as plagiarism, libel, slander etc.

Applicable Law

All work is governed by the laws of New Zealand, and the Courts of New Zealand shall have the sole and exclusive jurisdiction to hear and determine all disputes in connection with claims arising from work produced by BW.


All work received is treated with utmost respect and confidentiality. No information will be shared with a third party without the client’s written consent.

The client acknowledges that before engaging Bellbird Words to undertake work he or she has read and accepted these terms and conditions.
